Board Elections

The Association's bylaws establish the process for nominating and electing members to the Board of Directors. Below is an overview of board elections including the elections committee, qualifications of candidates, nominations, voting, and oversight of the process. See Section 3.3 and 3.4 in the Association's bylaws for more details.
 

Elections Committee
  • The first step is for the Board of Directors to appoint an elections committee that consists of a member of the Board whose term is not expiring and at least one other unit owner. The elections committee is appointed at least sixty-five (65) days prior to the owner's annual meeting.

  • The committee is responsible for administering the election procedures including the schedule, announcements, and collection of nominations. The committee may recommend changes to the procedures for approval by the Board.

Qualifications
  • The Association's bylaws in Section 3.4 state that candidates must be a unit owner and not more than 60 days delinquent in meeting financial obligations to the Association.

Nominations
  • Candidates self-nominate themselves by submitting a nominating petition to the Election Committee Chair at least thirty-five (35) days before the election meeting.

  • Nominating petition are available online or at the building manager's office.

  • Candidates must sign the nominating petition, indicating their willingness to serve as a director.

  • The nominating petition must be signed by persons owning and representing at least five units (5) in Windsor Plaza Condominium. These signatures must be from owners and not renters.

  • During the owner's annual meeting, additional nominations may be made as long as the nominee is present or consents in writing the willingness to serve.

Information about the Candidates
  • The Election Committee may arrange an open meeting for owners to meet the candidates or distribute candidate statements (blank statement). The committee is responsible for communicating any rules and guidelines to the candidates.

Voting and Oversight
  • The Association will mail to owners the list of candidates on a proxy ballot form along with the announcement of the date, time, and location of the annual meeting of owners.

  • Owners may vote in-person at the annual meeting or if unable to attend, may vote by submitting a signed proxy form before the start of the annual meeting.

  • At the annual meeting, the President of the Association appoints one or more election inspectors to count the votes and report the results.

  • Candidates may briefly address the owners before voting takes place during the meeting.

  • Owners vote by submitting a ballot.

  • The election inspectors count the ballots, proxies, and report the election results.

  • Officers (i.e., president, vice president, secretary, treasurer, and other designated offices) are elected by the new board of directors at the next meeting.

  • Results will be announced through the Association's website and newsletter.
